Privacy Policy

Last updated: 5 November 2026

This notice explains how Richard Gbalaka, trading as KeepIT ("KeepIT", "we") handles your personal data. We are the data controller for the personal data processed through KeepIT, which means we decide how and why it is used.

1. Data we collect and why

  • Account details (email address, login credentials, Google or Apple sign-in identifier) — to create and secure your account. Basis: contract.
  • Profile details (name, surname, station, licence or computer number, logo) — to print on your logbook exports. Basis: contract.
  • Log entries (dates, aircraft registrations and types, tasks, references, stations) — to provide the logbook. Basis: contract.
  • Signatures and stamps of engineers and supervisors, plus supervisor names and licence numbers — to record sign-offs. Basis: contract and legitimate interests.
  • Imported documents — to read rows into your log. Basis: contract.
  • Usage and device data (IP address, browser type, pages used, error logs) — for security, fraud prevention and improving the service. Basis: legitimate interests.
  • Support messages — to answer your questions. Basis: legitimate interests.

2. Who we share data with

  • Service providers who host our app, database and files, send our emails, and process PDF imports with AI.
  • Paddle, our Merchant of Record, for the sale of the product, payments, tax compliance and invoicing.
  • Supervisors you choose: when you send a log for sign-off, the supervisor sees those entries and your name.
  • Professional advisers (legal, accounting) where needed.
  • Authorities where required by law.

We do not sell your personal data.

3. International transfers

Our providers may store data outside Nigeria. Where they do, we rely on safeguards such as standard contractual clauses or adequacy decisions.

4. How long we keep data

We keep your data while your account is active. When you close your account, or data is no longer needed, we delete or anonymise it, except where we must keep records by law (for example, sales records).

5. Your rights

Under the Nigeria Data Protection Act and, where it applies, the GDPR, you can ask to access, correct, delete, restrict or export your data, object to processing, and withdraw consent. You may complain to the Nigeria Data Protection Commission or your local supervisory authority. We reply within one month. Email keepmntx@gmail.com.

6. Security

We use encryption in transit, access controls that keep each user's entries private, and private file storage for logos and signatures.

7. Cookies

KeepIT uses only essential browser storage to keep you signed in, plus basic privacy-friendly usage counts. We do not use advertising cookies. You can clear storage in your browser, which signs you out.

8. Changes

We may update this notice and will show the new date above.
